The controller of personal data for the online shop videovalve.ee is Videovalve OÜ (registry code 11022817), located at Sõpruse pst. 159B, Tallinn 13417, Estonia, tel +372 6715042, email info@videovalve.ee.

What personal data is processed

  • name, telephone number and email address;
  • company name, registry code and VAT number (for business customers);
  • delivery address or selected parcel locker;
  • cost of goods and payment-related data (purchase history);
  • customer support correspondence;
  • IP address and other network identifiers.

Purposes of processing

Personal data is used to manage customer orders and to deliver the goods.

Purchase history data (date of purchase, goods, quantity, customer details) is used to compile an overview of purchased goods, to handle warranty and complaint cases, and for the resolution of consumer disputes.

Company name, registry code and VAT number are processed in order to issue invoices and to comply with accounting obligations.

Personal data such as email address, telephone number and customer name are processed in order to resolve questions relating to the sale of goods (customer support). The email address is also used to send invoices, and the telephone number to notify the customer that goods have arrived at a parcel locker and to arrange courier delivery.

The user's IP address and other network identifiers are processed in order to provide the online shop as an information society service and to compile web usage statistics.

Legal basis

Personal data is processed for the purpose of performing the contract concluded with the customer (managing orders, delivery, returns of goods and payments).

Personal data is processed to comply with legal obligations (accounting, obligations arising from the sales guarantee).

Processing is necessary for the controller's legitimate interest, namely the collection of purchase history data for the purpose of resolving potential consumer disputes. To review the legitimate interest assessment, email info@videovalve.ee.

Processing takes place on the basis of the customer's consent for sending newsletters and offers.

Recipients to whom personal data is transferred

  • Transport service provider — name, telephone number and email address are forwarded to the parcel locker or courier service chosen by the customer (Venipak, DPD, OSC). For courier delivery, the customer's address is also forwarded.
  • Payment service provider — the data required to process the payment is forwarded to ESTO.
  • IT and hosting service provider — to ensure data hosting and the functionality of the online shop.

Accounting is carried out in the Shop's own business software and is not transferred to any third party.

Security and access to data

Personal data is stored on servers located within the territory of a European Union member state.

Access to personal data is available to employees of the Shop who need it in order to resolve technical issues relating to the use of the online shop and to provide customer support.

The Shop applies appropriate physical, organisational and IT security measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised access and disclosure, namely: data exchange with the shop takes place over an encrypted connection (TLS); customer passwords are stored encrypted (as hashes); firewalls and antivirus protection are applied to the servers; regular backups are made and kept separately from the shop's server.

The transfer of personal data to the Shop's processors (transport service provider, payment service provider and data hosting) takes place on the basis of contracts concluded with those processors. Processors are obliged to ensure appropriate safeguards when processing personal data in accordance with Article 28 of the General Data Protection Regulation.

Access to and correction of personal data

Personal data can be reviewed and corrected in the online shop's user profile or through customer support. If the purchase was made without a user account, personal data can be reviewed through customer support. Where a request to access personal data is submitted electronically, the information is also provided by commonly used electronic means.

Withdrawal of consent

Where personal data is processed on the basis of the customer's consent, the customer has the right to withdraw that consent in the customer account settings or by notifying customer support by email.

Retention

When the customer account is closed, personal data is deleted, except for personal data (purchase history) that must be retained for accounting purposes or for the resolution of consumer disputes.

In the case of disputes relating to payments and consumer disputes, personal data is retained until the claim is satisfied or the limitation period expires.

Personal data contained in accounting source documents is retained for seven years.

Restriction

The customer has the right to request restriction of the processing of their personal data if the data is inaccurate or incomplete, or if their personal data is being processed unlawfully.

Objections

The customer has the right to object to the processing of their personal data if they have reason to believe that there is no lawful basis for the processing.

Erasure

To have personal data erased, please contact customer support by email. A response to an erasure request is provided no later than within one month, specifying the period for deletion of the data. The response also sets out the personal data that will not be erased, together with the legal basis and the reason.

Portability

A request for the portability of personal data submitted by email is answered no later than within one month. Customer support verifies the identity of the person and provides information on the personal data subject to portability.

Direct marketing messages

The email address is used to send direct marketing messages where the customer has given consent. Customers who do not wish to receive direct marketing messages should follow the relevant link in the footer of the email or contact customer support.

Cookies

The Shop uses cookies to provide the functions necessary for the shop to operate (shopping cart, login, language selection) and to compile web usage statistics. Non-essential cookies are used only with the user's consent. Consent can be changed at any time in the shop's cookie settings.

Resolution of disputes

Disputes relating to the processing of personal data are resolved through customer support (info@videovalve.ee, tel +372 6715042). The supervisory authority is the Estonian Data Protection Inspectorate (info@aki.ee).
